Terms of Service
Last updated October 27, 2026
These terms are an agreement between you and Coffee Layer, LLC, a company in the United States that operates theHQ.link (“theHQ.link”, “we”, “us”), for using the website at thehq.link, the dashboard at dashboard.thehq.link, and the pages people publish with them (together, the “Service”). By creating an account or using the Service you agree to these terms and to our Privacy Policy.
1. Your account
You must be at least 16 years old, or the age of digital consent where you live if that is higher, to create an account. Give us accurate details, verify your email address, and keep your password private. You are responsible for everything that happens under your account. Tell us at hello@thehq.link if you think someone else has accessed it.
Each account has one profile page. Do not create accounts in bulk or by automated means.
2. Your page and content
You keep ownership of everything you add to your page: text, links, images, and settings. You give us a worldwide, non-exclusive, royalty-free licence to host, store, copy, display, and process that content only as needed to run, secure, and improve the Service, including showing your published page to anyone who visits it.
You are responsible for your content and confirm you have the rights to publish it. Your draft stays private until you publish. Once published, your page and the contact details you add to it are public.
Published usernames stay fixed so links, QR codes, and NFC tags keep working. We may reclaim or change a username that is reserved, impersonates someone, or infringes another person’s rights.
3. Acceptable use
Do not use the Service to:
- break the law, or help anyone else do so;
- infringe intellectual property, privacy, or publicity rights;
- impersonate a person or organisation, or mislead people about who you are;
- publish phishing pages, malware, scams, or links to them;
- harass, threaten, or promote violence or hatred against anyone;
- publish sexual content involving minors, or any content that exploits children;
- send spam or unsolicited messages, including through booking or enquiry forms;
- scrape, overload, probe, or bypass the security, rate limits, or plan restrictions of the Service.
We may remove content or restrict pages that break these rules.
4. Bookings and enquiries
Pro pages can take bookings and enquiries from visitors. When they do, we send emails on the page owner’s behalf: a notification to the owner and, for bookings, a confirmation to the visitor. The page owner and the visitor arrange and attend meetings between themselves. We are not a party to those arrangements and do not guarantee that a meeting happens.
If you collect bookings or enquiries, you are responsible for responding to visitors and for handling their personal information lawfully, including any notices your local law requires.
5. Plans, payments, and cancellation
theHQ.link has a Free plan and a Pro plan. Pro costs USD $4 per month or USD $40 per year. Taxes may be added where required. Payments are processed by Stripe on Stripe-hosted pages; we never receive your full card number.
Pro renews automatically at the end of each billing period until you cancel. You can cancel at any time from the customer portal in your dashboard. Cancellation takes effect at the end of the current period and you keep Pro until then. Except where the law requires otherwise, payments are not refundable for partial periods.
Promotion codes are offered at our discretion, may be limited or withdrawn, and have no cash value. If we change Pro pricing, we will tell you in advance and the new price applies from your next renewal.
If Pro ends, your private draft keeps all its settings, and your public page switches to the Free version until you upgrade again.
6. Deleting your account
You can delete your account from Settings in the dashboard.
- On the Free plan, your page, uploads, analytics, enquiries, and sessions are removed straight away, and you can no longer log in.
- On Pro, your page is unpublished straight away, your subscription is set not to renew, and the account is removed when the paid period ends. Until then you can log in and reactivate the account to keep your subscription.
We keep a minimal, anonymised record of a deleted account so it cannot be reused, and we may keep information the law requires us to keep.
7. Suspension and termination
We may suspend or close an account, or unpublish a page, if we reasonably believe it breaks these terms, creates risk for other people or for the Service, or if the law requires it. Where it is reasonable to do so we will tell you why and give you a chance to respond. You may stop using the Service at any time.
8. Changes to the Service
We are continually improving the Service and may add, change, or remove features. Features marked as planned, such as custom domains, are not available until we announce them. We will give reasonable notice before removing a paid feature you rely on.
9. Disclaimers
The Service is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement. We do not guarantee that the Service will be uninterrupted or error-free, or that analytics counts represent unique people. Nothing in these terms limits rights you have under consumer protection laws that cannot be excluded.
10. Limitation of liability
To the extent the law allows, theHQ.link is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill. Our total liability for any claim relating to the Service is limited to the greater of the amount you paid us in the 12 months before the claim and USD $50. These limits do not apply to liability that cannot be limited by law.
11. Indemnity
If someone brings a claim against us because of your content or your breach of these terms, you agree to cover our reasonable costs and losses arising from that claim, to the extent the law allows.
12. Changes to these terms
We may update these terms. If a change is material we will tell you by email or in the dashboard before it takes effect. Continuing to use the Service after the change means you accept the updated terms.
13. Governing law
These terms are governed by the laws of the United States and of the state where Coffee Layer, LLC is organised, without regard to conflict-of-law rules. If you are a consumer, you also keep the protection of the mandatory laws of the country where you live, and you may bring claims in your local courts.
